In Aragro, product is tracked from the field to the sale with three tools: the harvest work order (creates inventory), the processing order (turns one product into another) and transfers and sales (move it and take it out). This guide shows how to chain them.

  1. Create the products in inventory with their category:
    • Crop / harvest product: what comes out of the field (for example, Ripe coffee, Green coffee, Wet cacao, Field avocado).
    • Processed product: what comes out of the plant (for example, First-grade parchment, Dry cacao, First-grade avocado).
  2. Create the plants (wet mill, fermenter, dryer, sorter) as infrastructure of type processing plant. A plant can hold inventory, so you don’t need a separate warehouse with the same name.
  3. Set up the activities with the right work order type: Harvest for harvest and Processing for transformation. See Work order types.
  4. Define units with their weight conversion (for example, box ≈ 49.9 kg or can = 22 kg) so reports add up correctly. See Units of measure.
  1. Create a work order with a Harvest activity.
  2. Record the weight or quantity harvested per field and, if applicable, per quality (for example, green and ripe).
  3. Choose the destination warehouse. Send the harvest straight to the plant where it will be processed, so it’s ready for the next step without extra transfers.
  4. When the order is completed, that product’s inventory goes up in the destination warehouse and the yield is tied to each field.
  1. Create a processing order in the plant where the product is.
  2. Enter the input product and the quantity processed (for example, 100 quintals of coffee cherry, with its composition: 80% ripe, 5% half-ripe…).
  3. Record the output products and their quantities (for example, 14.58 quintals of first-grade and 1.55 of second-grade parchment).
  4. If there is loss (shrinkage), record it as a Shrinkage product so input and output balance.

The order only sees inventory in the selected plant. If the product doesn’t appear, it’s in another warehouse: transfer it first.

If the product goes through several stages (for example, cacao: harvest → fermentation → pre-drying → drying → sorting), record one order per stage and a transfer whenever the product changes plant. That way you measure each stage’s yield and cost.

Watch dates and times: a transfer or order timed before the product arrived fails because, at that moment, the inventory didn’t exist yet.

  • Sale: record it in Inventory → Sales. It takes the product out of inventory and creates the receivable. See Sales.
  • Sold but not yet invoiced: transfer the product to a Products to sell warehouse. It stays out of daily operations until accounting records the formal sale.
  • Loss or write-off: use a decrease inventory adjustment, with a comment.
  • The harvest report shows what was harvested by field, crop and cycle.
  • Inventory movements shows each product’s inflows and outflows at every stage: use it to calculate processing yield (for example, quintals of parchment per quintal of cherry).
What you see Cause Fix
The harvest dashboard shows far more than was harvested Several activities in the chain (cutting, loading, hauling) are of type Harvest and add up the same product. Keep as Harvest only the activity that brings product into the warehouse; switch the others to General.
The product doesn’t appear on the processing order It’s in another warehouse or plant. Transfer it to the plant, or send the next harvest straight there.
The processing order asks for labor The activity requires workers. Record whoever supervises the process, or adjust the activity so it doesn’t require them.
Quantities don’t match between stages Shrinkage wasn’t recorded. Add it as a Shrinkage output product.
